Job Description

General Summary of the Position

To accomplish the tasks and duties of the Parish Life Administrative Assistant as well as the particular duties of coordinating and assisting with Baptism Preparation up to their Celebration under the care and guidance of the Parish Life Ministry Office. This is a full-time position that is non-exempt and therefore requires the individual to ensure the completion of their respective duties within a timely manner deemed appropriate according to the changing needs of the parish. The position may require the individual to have weeknight availability on a monthly basis in order to assist with the Baptism preparation course. This includes all preparation and facilitating of the various assigned duties in English and Spanish.

Essential Duties and Responsibilities of the Position

• Present oneself with a disposition of service, respectfully aiding the office of Parish Life by serving as an Administrative Assistant and Coordinator who is an active participant in their faith.
• Live in accordance to Catholic teaching and abiding by Church cannon law by maintaining good standing following all teachings of the Catholic Church.
• Assist and Coordinate the preparation and execution of the assigned duties within office of Parish Life, with the primary responsibility of the ministry of Baptism preparation.
• Handle phone calls and assist those seeking information about the sacrament of Baptism.
• If needed, set appointments with couples seeking infant baptisms from first contact to completion of the paperwork.
• Gather fees and verify documents to ensure completion of the preparation for the reception of the sacrament.
• Assist the office of Parish Life administratively by answering phones, taking messages, and providing administrative support as required.
• Must coordinate with director to ensure all responsibilities are covered in case of absence or vacation.
• Responsible for other duties, as assigned or deemed necessary by the Pastor.

Baptism Related Duties

• Process Baptism registrations, English and Spanish.
• Gather documents and information i.e.: birth certificates, completion of preparation class, letter of good standing, and marriage certificate for Godparents.
• Coordinate volunteers to help teach the English 6pm and Spanish 8pm Baptism classes on the 1st Tuesday of the month.
• Coordinate Baptism dates with Deacons, Priests and Mass schedule
• Group Baptisms done 1st Saturday of the month in English, and 2nd and 4th Saturdays of the month in Spanish at 9am.
• Prepare certificates of completion for sacramental preparation classes.
• Ensure readiness for Baptisms
• Collaborate with Communication department to update website communications regarding baptisms.
• Prepare Baptism preparation booklets for class.
• Make participants roster for each Baptism class.
• Order supplies and materials for preparation classes.
• Reserve classrooms for Baptism preparation classes through Veronica Fonseca. (by mail, phone, or project sheet).
• Process and deliver (by hand or mail) preparation class certificates and Baptism certificates.
• File all programs materials.

Position Requirements

Knowledge, Skills and Abilities:

• Process and deliver (by hand or mail) preparation class certificates and Baptism certificates.
• Practicing Catholic living in accordance with Church teaching.
• Proficient communication in English and Spanish (written and oral).
• People skills for greeting and assisting others with sensitivity, as the role will at times require the ability to have tact and charitable words toward those undergoing grief and or stressful moments.
• Dependability, flexibility, team player mentality, willing to be contacted should needs arise outside of scheduled working hours as needed.
• Communication skills – (returning calls and email responses in a timely manner).
• Proficient computer skills, including Microsoft Outlook, Excel and Word.
• Willingness to work and or learn programs that include Exponent HR and PDS.
• Ability to handle workload and deadlines with flexibility and adaptability to the specific needs of the office and the needs of parishioners.

Preferred Qualifications:

• Concentration in a service-oriented field preferred
• Experience in Church ministry is preferred.
• Experience working with families and couples.
• Knowledge of sacramental preparation and programming.

Position at St. Mark Catholic School

The After School Program at St. Mark Catholic School is hiring. 

Job Description:

  • Under the supervision of the on-site Director, ASP workers plan, organize, facilitate, and monitor the activities of children enrolled in the St. Mark Catholic School After School Program.
  • Monitor and interact with students to keep students engaged in intellectual, creative, artistic, and physical activities.  
  • Assist in the planning and implementation of a daily program which will meet the needs of the children in attendance.
  • Monitor individuals or small groups of students assigned to the After School Program and assure student understanding of program rules and procedures.
  • Maintain appropriate order and student conduct.
  • Monitor children to ensure their health, safety and physical well–being.
  • Maintain a clean and organized environment for students.
  • Operate a variety of After School Program equipment and supplies including iPad to check-in students, athletic equipment, arts and crafts equipment, and office equipment as assigned.
  • Perform related duties as assigned.

Hours: 

  • The 2021-22 school year runs from August 16, 2021 through June 3, 2022.
  • There is a required training day in August 2021 (TBD).
  • Monday-Friday 3:00 PM to 5:30 PM; 5:30-6:00 PM as deemed necessary by the on-site Director.
  • On early release days (see school calendar), hours are 12:00 PM to 6:00 PM.

Pay:  $15 per hour

Qualifications: Must be 18 or older. Experience working with children required. Must speak English. Hired employees must complete a Safe Environment clearance and training program.
